What data we collect

We collect personal data when you voluntarily submit it through one of the forms on this website:

• Contact form: name, email address, phone number, postcode, the system you're interested in, and your message.
• Free Estimate Wizard: name, email address, phone number, postcode, property type, technologies of interest, current heating fuel, number of bedrooms, and how you heard about us.
• Job application form: name, email address, phone number, the role applied for, your CV file, and any message you include.

We do not use cookies, analytics, or tracking scripts on this website, and we do not collect any personal data automatically through your browser beyond what is necessary to process a form submission.

How we use your data

We use the information you submit to:

• Respond to your enquiry and provide a quote or estimate for renewable energy installation;
• Arrange a survey or site visit where relevant;
• Process job applications, including reviewing your CV for recruitment purposes;
• Comply with our legal and regulatory obligations, such as Gas Safe and MCS record-keeping requirements.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

Legal basis for processing

We process your data on the basis of: consent (you choosing to submit a form), legitimate interest (responding to enquiries and providing the service you've requested), and, where applicable, legal obligation (e.g. compliance with Gas Safe or MCS scheme record-keeping).

How your data is stored

Form submissions are processed and stored by our website host, Netlify, Inc., who provide the underlying form-handling infrastructure for this site. Email notifications of new enquiries are sent to our Google Workspace mailbox. Both providers operate under their own data protection and security obligations. We do not store payment card information, as this website does not process payments directly.

How long we keep your data

We retain enquiry and estimate data for as long as reasonably necessary to respond to you and follow up on your enquiry, and no longer than 24 months unless you become a customer, in which case data is retained in line with our standard business and tax record-keeping obligations. Job applications and CVs are retained for up to 12 months, or longer if you ask us to keep your CV on file for future speculative consideration.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you;
• Request correction of inaccurate data;
• Request deletion of your data ("right to be forgotten");
• Object to or restrict how we process your data;
• Withdraw consent at any time, where consent is the basis for processing.

To exercise any of these rights, contact us at info@ecocaresolutions.co.uk. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.

We may update this policy from time to time to reflect changes in our practices or legal requirements. The "last updated" date at the top of this page will always reflect the most recent revision.
